What data we handle and why

If you send the enquiry form, we handle the business website you provide, your description of the business, the country or market, your reply email address, the language of the request and the time it was sent. We use these details to answer your enquiry, clarify what you need and, if appropriate, discuss a separate service agreement.

The website host may also create technical security and availability logs, such as the requested page, time, browser details and IP address. These are used to operate and protect the service.

Legal basis

For an enquiry made by an individual who is considering the service, the basis is taking steps at that person’s request before entering into a contract (GDPR Article 6(1)(b)). For an enquiry made in a business role, B-IT’s legitimate interest in responding to a business contact and assessing a possible service request may apply (Article 6(1)(f)). You may object to processing based on legitimate interests.

Who receives the data

B-IT handles enquiries using a self-hosted n8n workflow on its VPS and sends them to B-IT’s Gmail inbox provided by Google. The n8n workflow is used only to route the enquiry; Google processes the message as part of email delivery and storage. The VPS region is not recorded in this notice. B-IT does not sell enquiry data or use it for advertising.

Google may process information on servers outside the European Economic Area. See Google’s privacy information at https://policies.google.com/privacy. The safeguards that apply depend on the Google account and service terms used by B-IT.

Retention

B-IT keeps an enquiry only for as long as needed to respond and decide whether to proceed. If no service agreement follows, the enquiry and related correspondence are deleted within 12 months after the last contact, unless a legal claim or other legal obligation requires longer retention. Accounting records connected with a later purchase are retained for the period required by law.

Your rights

Depending on the legal basis and applicable conditions, you may request access, correction, deletion, restriction or portability, object to processing, or withdraw consent where processing relies on consent. Contact B-IT using the details above. You can also complain to the Office of the Data Protection Ombudsman in Finland: tietosuoja.fi/en.

International transfers and security

The n8n workflow is hosted on B-IT’s VPS; its physical region is not recorded in this notice. Google may process Gmail data outside the European Economic Area under the terms and safeguards applicable to B-IT’s account. Access is limited to people and providers who need the data to handle the enquiry. Do not include sensitive personal information in the form.

Cookies and similar technologies

The site uses only storage needed for the language choice and your cookie preferences. Analytics and advertising technologies are not currently loaded. Read the cookie notice or open Cookie settings from the footer to review or change your choice.
